Sign Docs (“we”, “us”) explains here how we collect, use, and share personal information when you use our websites and services.

Information we collect

Account data: name, email, and authentication details you provide.
Workspace content: documents, requests, comments, and related metadata you upload or create in the product.
Technical data: IP address, device/browser information, and logs used to operate, troubleshoot, and secure the service.

How we use information

We use personal information to provide and improve the service, authenticate users, send transactional notices, process billing where applicable, comply with law, and protect against abuse or security incidents.

AI features

Some features (for example, AI-generated summaries, template suggestions, or the AI chat assistant) send the relevant content to a third-party AI provider to generate a response. We apply automated redaction of common personal identifiers — such as email addresses, phone numbers, and payment card details — before content is sent, and we do not allow providers to use your content to train their models. AI providers may process content outside the region where our servers operate, as described under “International transfers”.

If you sign or upload documents

Organizations use Sign Docs to request signatures and files from recipients. If you receive an invitation to sign or upload, we process your name, email address, signature, and anything you submit on behalf of that organization. The organization that sent the request controls the document and its recipients; direct questions about a specific document to that organization. You can exercise your data rights by contacting us as described under “Your choices”.

Where data is stored

By default, customer content and related service data are stored in the United States (Central) region (St. Louis, Missouri). We and our service providers may process data in other locations as needed to operate, support, and secure the service.

Sharing

We may share data with subprocessors that help us host, deliver email, process payments, provide AI features, or analyze reliability. Only as needed to run Sign Docs. We do not sell your personal information. We may disclose information if required by law or to protect rights, safety, and the integrity of the service.

Retention and security

We retain information for as long as your account is active or as needed to provide the service and meet legal obligations. We use industry-standard safeguards; no method of transmission or storage is completely secure.

Your choices

Depending on where you live, you may have rights to access, correct, delete, or export personal data, or to object to certain processing. Contact us to make a request. You may unsubscribe from marketing emails using the link in those messages.

International transfers

If you access the service from outside the country where our servers or vendors operate, your information may be transferred across borders. This includes AI providers that process content for AI features, as described above. We take steps designed to protect it consistent with this policy and applicable law.
